Board Meetings

Board Meetings are open to all club members and you are encouraged to attend.  The meeting agenda and  meeting minutes will be posted here on the website.  Meetings are generally held on the 2nd Wednesday of every month. 

The location and time of meetings are posted on this website prior to the meeting dates.

BOARD OF DIRECTORS MEETING MINUTES

Board Members Present: Matthew Hermanson, Colin Mather, Ian Maloney, Todd Fitz, Melissa Murphy, Robert McDonald

 

Risk Management- discussed having an application for all club volunteers and paid positions.  Determined that the background check was sufficient and the application was not needed.  We do need to define one main coach and one main manager for each team and set those people as the primary contacts.  No coaches or managers cards will be issued without a completed background check.

 

Team Summary- Boys have two U9 teams and one each of U10, U12, U14 and the U17 Rec-Plus team; Girls have one of each U9, U10, U11, U12, U14, U15 and U17.  There are coaches lined up for all teams and still need managers for some teams. Registration through Community Ed ends on March 12th.  After that date we can still accept kids for some teams and will process those through the Westonka Soccer Club. 

 

Coaches contract- Robert shortened the contract.  Only will be used for paid coaches.  As of right now Dana Larmour is the only paid coach so Matthew will forward the contract on to her.

 

Background Checks- Caralyn has the information on how to find out who has done their checks so we will determine who has not done them and send emails to them to get them done.

 

Gym Reservation times- Matthew has this almost complete.  Each team will meet 2 days per week for 1 hour each day.  The first week of indoor training will begin the week after spring break and will be at Grandview and the rest of the weeks will be at MWHS.  Colin and Matthew will be at the first practice for each team to answer questions and give instruction if needed.  Open gym has been reserved for Sunday 3/14 from 5-8pm and Saturday 3/20 from 1-5pm.  Colin and Matthew can be there to supervise.

 

Uniform status- one sock sample was sent in to Ian and Sera.  The sample is $8.00 but is comparable to the $14.00 adidas socks.  Board agreed that that sock would be ok.  We should have about an $800.00 rebate to use for equipment and coaches shirts.  Matthew and Colin will contact teams to see what equipment they have from last year so we know what we need to replenish.  We definitely need new corner flags.  Sera and Ian will work with Planet Soccer to order what’s needed.

 

Refunds for volunteer coached teams- Community Ed is supposed to be sending us registration monies so we can process the refunds but this hasn’t happened yet.   The U14 girl’s team may be getting a partial refund but we’ll wait to see if there are any scholarship needs on that team first.  Some players paid the lower fee but should have paid the higher fee.  Those bills for under payment will be sent through the club and will not go thru the team manager level.

 

Fundraiser contract- Todd has contract signed and ready to send to Bob Britz.  We are signing a one year contract for $12.00 per card.  Ian brought up that there are other vendors wanting to do this for less.  Todd will ask Bob to give us a better deal.

 

Open volunteer positions- Colin to send an email to the club membership asking for volunteers to coordinate the Fundraising Blitz and the U11 tournament.  He will use the email listing that Sera has built on Google.

 

Player registration requirements- there is one form that has the medical information and the waiver.  We also need Birth Certificates for all new players to the club.  Caralyn will find out if the MYSA has the current players Birth Certificates on file already. 

 

Coaches/Manager’s binder- the club will provide a binder/booklet for coaches and/or managers with contact info, medical/health waiver forms for each player, coaching conduct/protocol guidelines, game schedules, etc. 

 

Coaches training- Todd will contact Joel Dahl to arrange training for the Rec coaches provided by WSC.  The club will coordinate additional coaches training thru MYSA or we will run our own clinic.  Target date to do this is in early April indoors.   The club will promote that we want more coaches to pursue coaches licenses  (E or Y license, etc. ) and the WSC will pay for it.  Matthew will talk to Scott Nelson who holds a C license.
